Why cashless readiness now belongs in the base specification

The NAMA 2022–2023 Industry Census reports that about 75% of 2.89 million US vending machines accepted cashless payments, up from 69% in 2018. Among cashless-enabled machines, 94% accepted debit/credit cards and 88% accepted contactless payments. This supports offering card and mobile-wallet acceptance, but it does not guarantee a sales lift at every location.

Payment-provider claims require context: Nayax advertises roughly 30% revenue improvement on its vending page, while a recent Cantaloupe article states flexible payment can increase sales by 25%+. Treat both as vendor marketing benchmarks and build the investment case from your own cash-only baseline, price mix and location traffic.

Retrofit an existing coin or bill machine

  1. 01Identify the VMC, firmware, MDB harness and available power.
  2. 02Confirm the reader supports the machine protocol; pulse conversion is a separate path from MDB.
  3. 03Open the merchant account and verify settlement country, business entity and bank account.
  4. 04Survey 4G signal or the approved Ethernet/Wi-Fi option at the exact location.
  5. 05Approve mounting, cable routing, antenna position, weather protection and tamper inspection access.
  6. 06Test approval, decline, cancel, vend success, failed vend, refund, multi-vend and reconnect behavior.
  7. 07Reconcile terminal transactions against machine/DEX sales before fleet rollout.
Retrofit cost model

Total installed cost = terminal + telemeter/interface adapter + harness/mounting + onboarding + technician labor + initial service/SIM fees + tax/shipping. Ongoing cost = processing + monthly platform/connectivity + chargebacks/refunds + maintenance. Request a provider quote rather than relying on an old online fee table.

PCI and unattended-terminal security

PCI SSC classifies a vending payment device as an unattended payment terminal. Use a currently approved terminal where required, keep a device inventory, inspect periodically for tampering or substitution, restrict technician access and confirm who carries PCI DSS responsibilities. Do not store raw card data in the vending controller or Foodline cloud.

  • Record terminal model, serial number, firmware and PCI approval status.
  • Use provider-controlled encryption/tokenization and documented key management.
  • Define SIM/network ownership, signal threshold, offline rules and reconnect tests.
  • Train refill staff to recognize overlays, swapped devices, damaged seals and unauthorized cabling.
  • Confirm privacy notice, telemetry fields, retention, user roles and export rights.
