Start with the machine workflow

  • Product dimensions determine channels, trays, lockers or elevator delivery.
  • Ambient, chilled, frozen and heated workflows require different hardware and testing.
  • Screen size, cabinet construction and vandal resistance affect both initial cost and serviceability.

Separate hardware from recurring services

  • Cashless terminals may involve device, merchant, SIM and transaction charges from different providers.
  • Telemetry, remote inventory and API access can involve subscriptions or account limits.
  • Ask who owns each account and which recurring charges are excluded from the machine quotation.

Compare equivalent trade terms

  • Confirm whether the quotation is EXW, FOB, CIF or another agreed Incoterm and identify the named place.
  • Separate machine price from export packing, inland transport, ocean freight, insurance, duty and destination handling.
  • Record packed dimensions and weight before comparing logistics estimates.

Calculate project cost, not unit price

  • Include site preparation, unloading, payment onboarding, stocking, operator training and critical spares.
  • Use the same specification and acceptance checklist for every supplier comparison.
  • Request optional items as separate lines so essential functions are not confused with upgrades.
